A clear equipment request makes it easier to compare options and decide what belongs in your network.

1. Identify the complete part number.

Model suffixes can identify different airflow, power, regional, or interface variants. Copy the full product number from your equipment label or approved bill of materials. Include the quantity for each line.

2. Describe the configuration.

State which power supplies, modules, memory, drives, transceivers, and rack accessories are required. If replacing an existing unit, tell us which components you plan to reuse.

3. Check compatibility and entitlements.

Confirm the intended platform, software environment, cables, and optics. For managed devices, determine whether licenses, ownership transfers, subscriptions, or support contracts are required. Hardware and software entitlements are not interchangeable.

4. Choose an acceptable condition.

Say whether you need new equipment or can consider refurbished or used options. Ask about cosmetic condition, included packaging, and any testing documentation your organization requires.

5. Include delivery and purchasing requirements.

Add the destination and required date. If your purchasing process requires vendor onboarding, a purchase order, or tax documentation, mention it before the order is finalized.
